How a Time Card Is Totalled, and Why Rounding Changes the Answer
A time card calculator adds up a week of clock-in and clock-out punches, subtracts the unpaid breaks, and reports the hours you should be paid for. It sounds like subtraction until you meet the details: a shift that crosses midnight, a punch someone forgot to make, a lunch break that is unpaid on one card and paid on another, and an employer whose payroll system rounds every punch to the nearest quarter hour. Hourly workers checking a payslip, shift supervisors approving a week of cards, and small-business owners running payroll by hand all need the same thing — a total they can defend line by line, in both the decimal hours payroll uses and the h:mm format employees actually read.
Each day is handled in four steps. First the punches become minutes since midnight, keeping the arithmetic in whole integers with no floating-point drift. Second they are rounded if you chose a rounding rule: 29 CFR §785.48(b), the US Department of Labor regulation on time clocks, permits the nearest 5 minutes, one-tenth of an hour (6 minutes) or quarter hour (15 minutes), and because that rule governs punch times the rounding lands on the punches before anything else. Third the span is clock-out minus clock-in, and a negative result means the shift crossed midnight, so 1,440 minutes are added and the row is tagged +1d. Fourth the unpaid break is subtracted to give paid minutes. Weekly hours are paid minutes divided by 60; overtime is whatever exceeds the threshold, which defaults to the 40 hours in the Fair Labor Standards Act but stays editable; gross pay is rate × regular plus rate × multiplier × overtime.
The rounding selector is not a cosmetic option, and one shift shows why. Clock in at 9:00 AM and out at 5:07 PM and you have 487 raw minutes, or 8.12 decimal hours. Round to the nearest 5 minutes and 5:07 becomes 5:05, giving 485 minutes or 8.08 hours. Round to 6 minutes and it becomes 5:06 — 486 minutes, 8.10 hours — because the 3-minute midpoint rounds up. Round to a quarter hour under the well-known 7-minute rule and 5:07 falls back to 5:00, leaving 480 minutes, exactly 8.00 hours. Four legitimate answers to one shift, spread across seven minutes of pay. Add a 30-minute unpaid lunch to a plain 9-to-5 and you get 7.5 paid hours; five of those days is 37.5 hours, which at $25 an hour is $937.50 with no overtime, since the week never reaches 40.
The tool earns its keep in a few specific spots. A warehouse worker on four 10-hour shifts plus one more can confirm that a 50-hour week splits into 40 regular and 10 overtime hours, which at $20 an hour is $1,100 rather than the $1,000 a flat calculation would give. A nurse finishing at 6:00 AM after a 10:00 PM start needs the overnight rule, otherwise the day reads as minus 16 hours. A payroll clerk auditing a card against the company's rounding policy can switch modes and see precisely which minutes the policy gains or loses. And anyone converting a total for a payslip needs 41 hours 15 minutes to read as 41.25 decimal hours, since 15 ÷ 60 = 0.25.
Two behaviours are deliberate. A row where the in and out times are identical returns zero hours, not 24 — identical punches almost always mean someone forgot to clock out, and inventing a full day of pay would be the worse error. Any row missing a punch is flagged incomplete and contributes nothing, because a guessed number on a time card is how disputes start. On rounding, §785.48(b) permits it only where the practice does not systematically underpay over time, and Donohue v. AMN Services (2021) bars rounding meal-period time in California, so exact time is safer there. This tool covers one non-exempt worker at a single rate: no daily overtime, double-time, seventh-day premiums, blended rates or meal-break penalties, and pay is gross.
